We are currently recruiting for an Export Administrator for a 6 month Fixed Term at our Market Drayton Depot to process customer contracts and orders, ensuring that all the needs of the customers are met and that all financial transactions are accurate.

 

Please note that working days are 5 out of 7 - currently Monday to Friday, but this could in the future change dependant on business requirements.  Working hours will be between 8am and 8pm, currently 8-4/9-5, however flexibility will be required. 

 

In this role the key responsibilities will include:

  • Ensure regular, clear communication with customers on deliveries to ensure that their expectations are met.
  • Work with the 3PLs, Vets, hauliers & various authorities to ensure all the appropriate documentation for export, is correct and on time. This will also include investigating new destinations requirements and applying for Health Certificates & other documentation.

  • Where relevant, also communicate with different sites to ensure they understand customer requirements and product is released on a timely basis. In the case of downgrade, you should ensure reasons for this are understood & communicated to the wider team
  • Ensure that all transactions are recorded accurately, on time and within the Financial Reporting systems.
  • To liaise with relevant departments that letters of credit are correct, and in place.
  • Reconcile transaction details and prices with suppliers and customers to enable invoicing.
  • Resolve discrepancies while maintaining and developing customer and supplier relationships.
  • Regularly review processes to ensure they remain efficient and fit for purpose.
  • Propose suggested improvements to the Customer Operations Manager and work with them to implement.
  • Support the Customer Operations Manager and Ingredients Finance Manager with management reporting where required.
  • May also need to provide reports to other parts of the Business Unit or Group.
  • Ensure appropriate use of POs to procure services/items.
  • Ensure all sales invoices are raised in a timely manner and reconciled to agreed volumes and prices.
  • Ensure all the above is compliant with the company's GO (authorisation) policy.
  • To be able to provide cover within the team & support other members where needed.
  • Point of contact for the Commercial Ingredients Team on queries.

 

Key skills & experience

  • Experience of NES (National Export System) Customer System-preferred-not essential
  • Experience in export documentation- preferred-not essential
  • Excellent relationship building and communication skills; able to tailor communications to the audience involved.
  • Knowledge of the different dairy products: how they relate to each other.
  • Proficient in Excel with exceptional attention to detail.
  • Systems knowledge (SAP). preferred-not essential
  • Personable team worker / exceptional attention to detail / methodical but adaptable to business needs / able to effectively communicate with many different types of people / capable of demonstrating the company values consistently in their role
